80% Of Sales Are Made On the 5th to 12th Contact

Do you ever wonder why some people are more successful than others?

The old saying "Fortune Is In The Follow Up" is as  important if not more important today as it has always been.  48% of  people that are in sales or business never follow up with a prospect.
 A staggering 25% make a second contact and then stop.
If you consider that only 2% of sales are made on the first contact and 10% of sales are made on the forth contact.  Yet, 80% of sales are made between the 5th and 12th contact.

With the advent of the internet and emails staying in contact can be much easier and cost effective than strategies of years gone by.  Keeping in contact and staying top of mind is imperative to today's business market.  Do you have an effective top of mind strategy in your business?  How do you keep in contact with your potential clients, customers or consumers?


7 Top Contact Strategies For Your Business

  1. Email Newsletters - yes our in-boxes do get a hammering with email newsletters, however as a cost effective marketing option for SME's it can create regular contact with your database.  Consider how often you wish to connect, what do you need to communicate, is the information valuable to your database.  Keep consistent with your sending pattern.  Keep the 80/20 rule in mind.  80% information, 20% sales.  A service like Mail-chimp offers a very cost effective service for a small to medium database, larger databases there is a minimal fee.  mail-chimp also allows the sender to gather statistical information on their open rates, click throughs etc.  Mail-chimp also has very strict spamming boundaries so you are covered with spamming, unsubscribes etc.
  2. SMS Messages- sending an SMS again is cost effective for a small database and is instant.  If you have a quick 140 character message for a call t action then SMS text messaging can be a very cost effective option.
  3. Direct Email - sending an email directly to a potential client, customer or consumer allows a more personal style of communication and can be done directly through your mail account without having to use a 3rd party provider.  Be sure to add an unsubscribe button if you are sending to a full database.  This is a legal requirement.
  4. Video Emailing - if you really want to get personal and add some variety to an email then video emailing is a very cost effective medium.  You can also send one video email to many.  Again, you can receive statistical information to see if your message is getting out there.  I use a program called Eyejot which offers a low cost video email service.  The recipient can open the video in their usual web browser without having to download third party applications.  These days with the Iphone/smartphone you can also send video MMS or Facetime
  5. The Old Fashioned Phone Call  - crazy as it may sound there are some of us out there that would really love to hear from you.  There are so many forms of technology these days that the ways to connect are really limitless including all the social media sites.  Some of our clients, customers and consumers are auditory and for them a video is great they can listen, but a good old fashioned phone call can be so much better.  When was the last time you picked up the phone and connected with someone instead of using an email, txt message or Facebook?  A phone call can get to the bottom of things quickly, spark interaction and conversation that can lead to all matters of business and connection.   If your target market are home business based, stay at home Mum's or sole traders then you could just change someones day with a simple phone call.
  6. Handwritten Note or Card - when you go to the mailbox do you dread seeing the envelopes with windows?  I know I do, do your clients feel the same way?  How would they feel if your next form of contact was a beautiful handwritten note or card?  A card that says 'thanks for the referral', 'pleasure doing business with you', 'let's catch up for a coffee', 'happy birthday', 'been thinking of you'.  How fabulous would that make them feel?  How many businesses have you received a handwritten note or card from in the last 6 months?  Are they top of mind?  I bet you could count them on one hand.  How many businesses haven't acknowledged you for your business or service?  I bet you run out of fingers and toes!  I use a fabulous program in my business that is cost effective and convenient to use.  This is how I stay top of mind in conjunction with my complete marketing and relationship building strategy.
  7. Holding/Hosting An Event - hosting your own event is another way of staying top of mind, keeping in contact with many and building relationships.  An event could be anything from an informal coffee morning, a training or workshop, cinema evenings, networking events or a meet-up for your area.   Hosting an event gives you the opportunity to stay connected through the 4 stages being:  invitation stage, the connection stage, the event stage and the follow up stage.  Event hosting can be a cost effective and fulfilling process.

Customer Service – When Does It Start and End?

Recently, I pondered this question....  For me a customer service experience starts on the day you first make the connection with a potential client or customer.  That’s right, even before they have purchased from you.  The whole interactive experience for a potential client or customer starts from the very first connection.   This is the time that your first impression counts whether it is a face to face meeting, a phone conversation, email or over the internet.  That first impression can be a lasting one.

 A month or so ago, I purchased a product from a major Telco player.  My initial connection with the company went seamlessly and the service I received was impeccable.  What happened preceding that initial interaction was where the whole customer service experience came unstuck.  I had inadvertently purchased a faulty product.  A few days after purchasing the product and about to use it I realised my product was faulty.  Returning to the place of purchase (with receipt in hand) I was sent on what could only be described as a 7 day run around.  After a humiliating and disturbing interaction with the store manager I then took it in my own hands to go farther up the ladder.  Now, the outcome although long winded was a suitable outcome and the service from ‘up the ladder’ was exceptionally good. 

This example shows that customer interaction, relations and service are on-going from the point of enquiry through to the purchase of a product or service and the on-going relationships. Just because the purchase has been secured doesn’t mean the customer service interaction should be removed or forgotten.    

In my business even after a client has finished a particular service the interaction continues.  The interaction can come in many different formats according to the particular client.  Interaction can include a ‘thank you for your business’ card, a follow-up phone call, email or letter.  It totally depends on the client and the service that has been provided for that particular client.  Follow up and providing a great if not exceptional customer service experience can be a simple cost effective solution to on-going product or service purchases, receiving referrals and being kept top of mind.

Procrastinate Does Not Profit Make

So you work from home, maybe you now telecommute, you run your home based business or you work from home for someone else or do contract work.  When people ask me where I go to work and I tell them from a ‘home office’ the look of envy gushes over their face as they extol the virtues of how great working from home must be.  True working from a home office has some really terrific advantages on the other side there are some really cataclysmic downfalls to it.

It can get really lonely- who do you share your fabulous weekend stories with?  Who do you show the new puppy photos to?  When do you get to share the happy snap shots of you burnt to a crisp on some exotic island hideaway beach?  It is a bit hard to find a co-worker when you step from your kitchen ten paces to your home office – no water cooler talk in this office.

As a home based worker it is important to adopt a plan to ensure the isolation does not get the better of you.  Joining network groups is an ideal way to keep in touch with other business owners and employees who find themselves in a similar situation.  I myself have branched out from here and have a regular catch up with a few different business owners for a regular coffee.  At these get togethers you can share your puppy shots, burnt crisp shots and weekend stories along with work related discussions.  I always look forward to the tab in my diary that indicates my coffee date.

Ok, now you’re not so isolated but who do you answer to?  Who is stopping you from spending one more hour in bed, that extra cup of coffee over the morning newspaper, hanging that load of washing out?  Surfing the net for ‘brainstorming ideas’ etc.  The list of procrastination tools can become longer than the task list itself  if you let it.

Make a Plan and stick to it:

Simply writing a to do list at the end of each day for the next day can assist you any set up a schedule for yourself that you can focus on throughout the course of the day.  Writing the to do list at then end of the day also allows you to relax after your work day ends, you can let go of the ‘oh, I need to do this tomorrow’  as you know it is already in your to do list for the following work day.

Keep organized:

Use files, trays or a system like Windows One Note to file your work and keep on top of your projects and client requests.  Keeping organized allows you to determine how much work you have for any given day or week.

Get Going and just do it:

Now you have your list and you are organized so what are you waiting for?  Just making a start on your first to do task can catapult  you out of procrastination and into profit generating activities.  Starting is the hardest step to take, so pop down that cup of coffee and briskly walk into your home office and get going.

Answer to Somebody:

Being accountable to somebody even if it is your life partner, accountant, book keeper or better still a mentor can help you focus on the tasks at hand and the desired outcomes.  Use your accountability partner  or a service like Action Traction Coaching to discuss your weekly to do list, you can report back at then end of the week and you are now accountable to someone or somebody.  You will be amazed at how an accountability partner can make all the difference between procrastination and profit!

Are You Hiding Out In Your Business?

Whether you are a small to medium business owner, solopreneur, network marketer or on-line marketer there are times where we find ourselves hiding out in our business.  Daily grind, regular tasks, product creation, clients, and all the other things that come with being a business owner can drive us further and further into our business and further and further away from connecting with others.

By driving ourselves further away from connecting with others we are really doing an injustice to our business and ultimately to ourselves.  We human’s are creatures of connection; we love to connect with other human beings.

There are a multitude of benefits to getting out and about and connecting with others, including:

·         Refresh our ideas

·         Personal invigoration

·         Enhancing our knowledge base

·         Opening up opportunities both personally and professionally

·         Gaining new perspectives

There are several ways we can get out and about that can be cost effective and easy to implement:

·         Attending networking events

·         Business owners informal meetings

·         Skype meetings

·         Mastermind groups

·         Attending seminars and live events

·         Attending community projects

·         Attending local commerce chapter meetings

Before attending it is wise to set an objective as to what your purpose for attending the event maybe.  It could be anything from making a new business connection through to gleaning a new idea for your business, the list is endless.

Aim for at least one event per week for a minimum of one hour, this should get you kick started into getting out of your business and into making some valuable lasting connections. Set 2011 to be your year for social interaction and out of hibernation.

52 Days Until New Year

52 Days Until New Year

Yes, just 52 days until the new year.  2010 has flown by without even seeing it rush before my eyes.  Always, about this time of year I take some time to access my business, what's worked well, what needs improvement and what can be culled or re-worked.  Starting in November means I have some time to put together a contingency plan for the following year.  In January, I can hit the ground running as I already know where I am planning to run to, I have set my path.  I am clear in what direction and where I am heading.

Tips to re-access:
 


  • What worked well?
  • What needs improvement?
  • What is no longer a value or benefit to my business and my clients?
  • How can I better leverage my time and resources?
  • What tools do I need to make positive changes?
  • What is my plan?
  • How do I go about this?

Taking an hour out of your week to sit down and do an assessment using these seven questions can save you a whole lot of time and frustration as you land in 2011.

Missed Opportunity Through Lack of Planning?

Have you missed an opportunity?  Recently I did and big time to!  I was busy preparing for a client meeting when the phone rang.  I was on a tight schedule and pushing to get myself out the door so as not to be late.  Just as I was about to leave the phone rang and I quickly picked it up to find a journalist on the other end of the phone wanting me to comment on a pertinent topic of the day.  I was so pushed for time my reply simply was “I am sorry, I don’t feel comfortable commenting on this subject at this point in time”.  End of conversation!

Uuugh! I still play this conversation out in my mind.  This was a perfect opportunity for me to gain more exposure for my business, build credibility and build a relationship with the journalist.

 What’s done is done, I can’t change what happened.  From this there has been a truly big learning for me – keep your eye out for opportunity and have a plan for when it rises, you never know when it will happen.

Now I have a plan in place, I have created a plan of action should this situation arise again.  I thought through what I could have done better, what I could have said and how I could have filled both obligations on the day.

I know this sounds really basic stuff, however, you would be surprised at how many times we can let opportunities slip through our fingers because we don’t have a plan, we don’t think things through logically and we don’t act!  Having a strategic plan in place and most importantly putting some action to the plan can help to build on those opportunities. 

For me now, I visualize the phone ringing and the journalist is on the other end giving me a second chance to prove my value.

Over the last few months I have run some free webinars, seminars, spoken at events and then there is the podcast channel.  After any one of these events, etc I get phone calls & emails from listeners, viewers, participants asking for a little more information.

Most of the phone calls and emails start off a little awkwardly as they are to find out a little more information, a tip, trick or some techy stuff.

I really enjoy sharing information and helping other small to medium business owners.  It is what I do!

Claim Back Your Office

During the night I had an ah-ha moment.  When speaking with clients I always discuss having your home office clutter-free, organized and tidy.  The weeks leading up to my holidays I was busy trying to get all the tasks sorted out and dropped the ball a little.  I then shut the door of my office and decided I would deal with it all on my return.  My return didn’t go to plan and I ended up taking off a little more time than expected.  For the last two weeks I have been busily catching up on all the things that pile up whilst your away.  During the last two weeks I have felt disorganized and if I am totally truthful my work has been fragmented.

Last night I woke up in the early hours feeling quite anxious about what I needed to achieve this week, there were flyers to produce, blog entries, finalize the details of my talk for the Kingston Women’s Business Network next week, final script adjustments for my free webinar the following day, clients to book in and the list goes on.  Well, in those early hours came my ah-ha moment. Tomorrow morning I am not going to turn on my computer until 10am!  I am going to grab some garbage bags, recycle boxes and my files for filing and I am going to work solid for two and a half hours and clear out my office, desk and filing.  My gosh, I was like a woman on a mission.  Bags of rubbish, papers shredded, papers filed, files labeled, floors swept, desk dusted, bins emptied, you name it I did it.  I really was a mad woman and I was on a mission.

For weeks, I had allowed myself to work in an unhealthy, messy and disorganized environment.  My thoughts had been all over the place, I was wasting time looking for papers, notes etc.  At one stage I spent about 10 minutes looking for my stapler, what was I thinking?

Just leaving the computer off, not answering any calls and having a clear focus on what it was I wanted to achieve gave me the ability to clear out all of the clutter that had built up over the last two months and regain my sanity and my time.

Whilst cleaning away the clutter and mess I felt I really made headway.  I decided right there in the middle of the muddle that from now on I am going to turn my computer on ½ an hour later every morning and clear away, file, tidy and gain back my home office space.  At least dedicating ½ an hour each morning means I won’t get myself into the pickle that I had found myself in.

Word Of Mouth Marketing – I saw it in action!

Just recently hubby and I went on a fabulous touring holiday through the NSW South Coast in our campervan.  We ended up in Bateman’s Bay at a caravan park just over the bridge.  This caravan park had been recommended to us by a couple we met whilst staying in Merimbula.  When we arrived we found we had a little problem that was going to take some days to sought out.  This little problem meant that the accommodation we had booked was no longer suitable and we needed to change the accommodation style for 5 days.  The staff there, particularly the receptionist, were amazing and were absolutely wonderful to us.

Now, this is where I saw the power of word of mouth marketing in action.  We had been recommended to stay at this park from another couple.  Normally we probably wouldn’t have even given it a thought.  As they spoke so highly of the amenities, location and the staff we decided to go with their recommendation.  This was a ‘sale’ due to word of mouth.  Whilst staying in Bateman’s Bay we toured around several surrounding townships and as travelers do, you start chatting to others.  Each time we were asked where we were staying we mentioned the place and how fabulous the staff had been.  A couple we spoke to decided they also would give the ‘park a go’.

Now the recommendation from the first couple to us sparked a sale.  Our recommendation to the next couple sparked a sale and so you can see how the ball will roll.  The power of word of mouth marketing should never be underestimated.  Give great service, be pleasant to deal with and be priced at market expectation and you will see the power of word of mouth.  The same applies for negative word of mouth marketing, give bad service, be grumpy and price yourself out of the market and you could see the power of word of mouth marketing from a totally different angle.

Word Of Mouth Marketing – it costs you and your business absolutely nothing, not one cent but the benefits could be amazing!  Sometimes, this marketing strategy can be lost in the hype of more exciting marketing strategies, it’s worth doing an analysis of your business to see which angle you would see the impact of word of mouth marketing.
